What can an Insured do to prepare for a review?

Third party documentation (i.e. summary/settlement sheets from the elevator) is required when applicable and available. Insureds are expected to have available hard copy records that will 1) support the total production raised for the crop/county/year being reviewed and 2) that can demonstrate how production was kept separate between various units, practices and types (if applicable).

Insureds will also want make themselves available to meet with the quality control reviewer as the reviews will need to be completed before the claims can be processed.

What can Agents do to prepare for a review?

Agents can encourage their producers to begin assembling the production history documentation that will be necessary to complete the APH Review. Agents may also want to be sure all current year policy documents have been submitted to the FMH home office so that the Contract Review can be completed without delay.

How does the review process begin?

Once a claim is reported, FMH adjusters will be in contact with policyholders and/or agents. They will discern which policies will need a review and take the steps necessary to initiate these reviews. At that point FMH’s Compliance Field Specialist will oversee the review completion to ensure that all the components of the review are completed by objective and unbiased persons and according to RMA procedures.

Why Wait? Farmers Can Report With Precision Before FSA

FSA offices may have longer wait times this year with staffing changes, but farmers don’t need to depend on FSA to report their acres for crop insurance.
With the accuracy and speed of reporting precision data, farmers can report to their FMH agent first before going to the FSA office. In fact, FMH agents can generate an FSA Summary Report to make it even easier for the farmer to certify their acres with FSA.

“Our customers will upload their planting information when they are finished planting, and we will go over the acres and record prevent plant acres,” said Susan Larson, an agent with Hegg Insurance in South Dakota. “I will then forward our acreage report to the FSA office.”

Larson explained how their FSA office then records the customer’s planted and prevented acres and lets the customer know when to stop in to sign their 578's. FSA then forwards the customer’s signed 578's and maps to Larson for her records.

“This is time saving for both the customer and the FSA. It saves the customer time because they don’t have to wait for an appointment and report to both the FSA and their agent. This also saves the FSA time as they can work on the customer’s acres as they have time,” Larson added. “We have a great relationship with our FSA offices!”

For farmers who still want to report to crop insurance and FSA separately, there are no FSA or RMA regulations requiring acres to match between the two organizations. While this has been a long-standing business practice, precision ag data is making it much easier for agents and farmers to verify and report acreage.
